  • Customers see a “Business Account” badge You can also use Meta Verify feature to verify your business number which shows Name instead of number.
  • Everything organized and professional
  • Compliant with WhatsApp’s business policies

Before we jump into setup, I want to clarify something: There’s WhatsApp Business App and WhatsApp Business Web.

WhatsApp Business App (RECOMMENDED

Download to your phone (iOS or Android)

  • Full access to all features
  • Works offline (messages sync when you reconnect)
  • Push notifications (you see messages instantly)
  • Best for: Most small businesses
  • My recommendation: Start here

WhatsApp Business Web

  • Access from your computer browser
  • Works only when your phone app is open and connected
  • NOT independent (not a desktop app)
  • Good for: Checking messages while on computer
  • My recommendation: Use as backup, not primary

For PC Users: There is NO native WhatsApp Business desktop app. You can only access via browser on Web version. Even you can also use WhatsApp Regular app to sign in on your business account using WhatsApp Beta App for PC.

My advice: Download the App now. Use Web /Beta Version of WhatsApp Desktop App as a supplement if you want to respond from your computer while working.

Step-by-Step: How to Download & Install WhatsApp Business (15 Minutes)

Let’s get this set up. Follow these exact steps:

STEP 1: Download WhatsApp Business (Choose Your Platform)

For iPhone/iOS:

  1. Open App Store
  2. Search “WhatsApp Business”
  3. Tap “Download”
  4. Wait for installation (approx 2-3 minutes)
  5. Tap “Open”

For Android:

  1. Open Google Play Store
  2. Search “WhatsApp Business”
  3. Tap “Install”
  4. Wait for installation
  5. Tap “Open”

Important: Download “WhatsApp Business“, not regular “WhatsApp”. They’re different apps.

STEP 2: Verify Your Phone Number (2-3 minutes)

  1. When app opens, it will ask for your phone number
  2. Use your actual business phone number (ideally different from personal WhatsApp if you have one). If you are already using WhatsApp Regular on your phone number you have option to switch it to business.
  3. WhatsApp sends a verification code via SMS
  4. Enter the code in the app
  5. Tap “Verify”

Why this matters: This phone number links to your WhatsApp Business account. Customers will see this number. Make sure it’s correct.

STEP 3: Add Your Business Information (5 minutes)

Now WhatsApp asks you basic business info. Fill this out completelyβ€”don’t skip it.

Business Name: What customers see when you message them

  • Example: “Sharma’s Restaurant” (not just “Sharma”)
  • Keep it recognizable

Business Description: 50 characters max to describe what you do

  • Example: “Fresh North Indian food, quick delivery”
  • Be specific (not just “Food”)

Category:

  • Restaurant
  • Clinic/Healthcare
  • Retail Shop
  • Service Provider (salon, tutor, consultant, etc.)
  • E-commerce
  • Choose the one that fits

Address: Your business location

  • Include full address
  • Helps customers know you’re legitimate

Website: Your website (if you have one)

  • Leave blank if you don’t have one (it’s optional)

Email: Business email

  • Optional but recommended

STEP 4: Set Your Business Hours (2 minutes)

WhatsApp asks: “What are your business hours?”

Why this matters: When you set hours, WhatsApp automatically responds to customers outside those hours with an “away message.”

Example:

  • Monday-Saturday: 9am-6pm
  • Sunday: Closed

When a customer messages at 9pm, they see: “Thanks for reaching out! We’re closed now. We’ll respond tomorrow at 9am.”

This manages expectations and prevents customer frustration.

STEP 5: Upload a Professional Profile Photo (1 minute)

WhatsApp asks for a profile picture. This matters more than you think.

Customers form opinions in 3 seconds. A professional photo builds trust.

Good choices:

  • Your business logo
  • Professional photo of you (if you’re the business)
  • Your store/clinic photo

Bad choices:

  • Random personal photo
  • Blurry image
  • No photo at all

STEP 6: Confirm You’re Using a Business Account

WhatsApp will confirm: “This is a Business Account”

You should see a green checkmark βœ“ indicating you’re set up as a business, not personal.

  3. “What’s your return policy?” Reply: “30-day money-back guarantee. No questions asked. Need a return? Reply and I’ll send instructions.”
  4. “How long does delivery take?” Reply: “Standard delivery: 5-7 days. Express: 2-3 days. Which works for you?”
  5. “Are you available for questions?” Reply: “Yes! I’m here to help. What’s your question?”

To create them in WhatsApp Business:

  1. Tap Settings (gear icon)
  2. Select “Quick Replies”
  3. Tap “+” to add new
  4. Type the shortcut trigger + full response
  5. Save

Common Mistakes I See (And How to Avoid Them)

The mistake: Finding random phone numbers online and messaging them.
